COMPUTER DOCTOR SBS USER GUIDE - FAX DIRECTLY FROM YOUR COMPUTER TO A SINGE RECIPIENT OR A DISTRIBUTION LIST

SBS 2003 with a modem attached to the server. Windows 2000, XP, Vista.

Overview

You can send faxes directly from your workstation by printing to the Fax printer from any application. You can optionally retain a copy of your fax and be notified of a successful or failed fax delivery. This is useful when sending important faxes.

Details

Any program that can print to a Windows printer can send a fax using this method. We will use Word in this article.

From Word you can fax a document by going to File->Print and selecting the \\server\Fax printer.

Click Next

If you are sending a fax to someone that isn't in your address book type in their name and fax number and click Add.

When you click Add the recipient is added to the list. You can send a fax to one person, or you can add multiple recipients to the list.

You can also add recipients from your address book as long as they have fax numbers assigned to them. Click Address Book. Select the distribution list or contact and click the To -> button. Then click OK.

When you have added all the recipients click Next.

Here you have the option of specifying a cover page.

Note

Under some circumstances, cover pages are sent as a separate fax. I recommend not using this function and manually creating your own fax cover page and adding it to the front of your document. e.g. If you are sending a one page fax, make it a two page fax where the first page is your manually created cover page.

Click Next.

Click Next to send the fax immediately.

Note

You can be notified by email when your fax is sent. The server can only send one fax at a time, and if a lot of users are sending faxes at once there can be a delay. By selecting E-mail message and ticking Attach a copy of sent fax you will receive an email notification which lets you know that your fax has been successfully sent. Then click Next.

Click Finish to send the fax.

Note

If you are using Windows XP or Vista, you can use the fax console to view the list of faxes that have been sent, are waiting to be sent or have been received. Just double click on the Fax on server printer (in the Printers and faxes icon of the Control Panel).

The folders are organised much like your emails with an Inbox for received faxes, Outbox for items that are waiting to be sent and Sent items for faxes that have been sent. The Incoming folder contains faxes that are currently being received.
